These Terms & Conditions apply to all bookings, visits, and use of Eagle Bay’s private golf simulator rooms and related services. By making a booking or entering one of our venues, you agree to these Terms.

1. Who We Are

“Eagle Bay”, “we”, “our”, or “us” refers to Eagle Bay Golf Ltd.

“You”, “your”, or “Guest” refers to the individual making the booking and anyone they bring with them.

We may update these Terms from time to time. The version published on our website will always be the one in force.


2. Making a Booking

All bookings must be paid for in full at the time of reservation unless explicitly stated otherwise.

Bookings apply to a single simulator room for the time purchased.

We may decline a booking or refuse entry where necessary for safety, security, or operational reasons.

Bookings cannot be transferred, resold, or used for commercial purposes without our prior written permission.


3. Cancellations, Changes & Credits

If you cancel 48 hours or more before your session start time, the full value of your booking will be placed into your Eagle Bay account as credit for future use.

Cancellations made within 48 hours of the session start time are not eligible for refund or credit.

If we are required to close due to an equipment fault, safety issue, or circumstances outside our control, we will issue credit for the affected booking.

Gift Cards and Topups cannot be exchanged for cash and follow the terms outlined in Section 10.


4. Arrival, Access and Entry

You will receive digital access instructions before your booking, including access codes for the main door and the simulator room you have booked.

Access is granted only for your booked timeslot.

Access codes are issued for your booking only and must not be shared outside your group. You are responsible for any misuse of access codes linked to your booking.

You are responsible for ensuring all guests in your group follow these Terms and all safety guidance.


5. Using the Facilities

All equipment must be used responsibly and in accordance with on-screen instructions and displayed safety notices.

Only clean trainers or appropriate golf footwear may be worn. Golf spikes or footwear likely to damage flooring are not permitted.

You may play your own music, provided it does not disturb neighbouring units or breach licensing requirements.

Eagle Bay operates as a self-service facility. No staff member will be present on site.

Children must be supervised at all times by a responsible adult. The person making the booking is responsible for ensuring all guests are suitable to use the facilities safely.


6. Behaviour & Conduct

We aim to provide a relaxed and enjoyable environment. We reserve the right to end a session immediately and without refund or credit if:

behaviour is unsafe or likely to damage equipment or property,

guests are intoxicated or disruptive, instructions or safety guidance are ignored, or illegal or suspected illegal activity takes place.


7. Damage, Risk & Responsibility

You are financially responsible for any damage caused by you or your group to the simulator, technology, furniture, or premises, excluding normal wear and tear. Damage to golf balls and tees is excluded.

Use of our facilities is entirely at your own risk. Golf involves inherent physical risks, and safe swing practices and adequate spacing must be maintained at all times.

Guests are responsible for their own safety and the safety of others in their group.

Eagle Bay accepts no liability for loss, theft, or damage to personal property brought onto the premises.

Nothing in these Terms limits our liability where injury or loss arises from a proven wilful act, negligence, or default by Eagle Bay or its authorised agents. Subject to this, use of the premises and facilities is at your own risk.

Any accident, injury, or incident must be reported to us immediately using the contact details provided in your booking confirmation.


8. Health & Safety

Only individuals physically able to participate safely should use the simulators.

Please do not attend if you are experiencing symptoms of a contagious illness that could put others at risk.

All guests must familiarise themselves with emergency exits and procedures.

Any accidents, safety concerns, or equipment issues must be reported immediately using the contact details provided in your confirmation.


9. Gift Cards and Topups

Gift Cards and Topups may be used for simulator time or eligible services at any Eagle Bay location.

Gift Cards and Topups are non-refundable and cannot be converted to cash.

Gift Cards and Topups are linked to the customer account used to purchase or receive them and are not transferable unless expressly permitted.

Gift Cards and Topups do not expire. We reserve the right to amend this policy with reasonable notice.
